Personalised cold emails and a follow-up sequence

How to write a cold email that gets replies

  1. Fill in the prospect's name and company and one specific, genuine observation about them: a job post, a product launch, a talk they gave or a recent funding round.
  2. Describe the problem you solve, one concrete result with proof, and what you offer, in plain words.
  3. Choose a call to action and tone. The tool writes the first email and a three-step follow-up sequence; edit any of them before copying.

What makes cold outreach work

The best cold emails are short, specific and about the recipient. Lead with why you are writing to them, not with your company history. Name one problem they probably have, show one result you have achieved for someone similar, and ask an easy question rather than demanding a meeting. Keep the email under about 125 words and the subject line under 50 characters, written like a message from a colleague rather than an advert. Plain text with no images or attachments also helps deliverability.

Most replies come from follow-ups, not the first email, so a polite sequence of three or four messages over two to three weeks is normal. Each follow-up should add something: a new angle, a useful resource or a simple question about who the right person is. The final "break-up" email often gets the highest reply rate. Respect the law and the recipient: in the UK and EU, B2B cold email must be relevant to the person's role, identify you clearly and offer an easy way to opt out; in the US, CAN-SPAM requires a physical address and opt-out. Everything you type stays in your browser.

How long should a cold email be?

50–125 words. Short emails that are easy to answer on a phone get the most replies.

How many follow-ups should I send?

Three or four over two to three weeks, each with something new, then stop.

Is cold emailing legal?

B2B cold email is generally legal in the UK, EU and US if it is relevant, honest, identifies the sender and offers an easy opt-out. Rules for consumers are stricter.
