How to create an email signature
- Choose a layout: Classic with an accent line, With photo for a round headshot or logo, or Compact for a short two-line signature.
- Fill in your details. Leave any field empty to hide it. For a photo or logo, use an image already hosted online (for example on your website) with an https:// address.
- Pick an accent colour that matches your brand, and optionally add a banner link such as "Book a call".
- Press Copy signature and paste it into your email program's signature settings.
Adding it to Gmail, Outlook and Apple Mail
- Gmail: Settings (gear) → See all settings → General → Signature → Create new, then paste and save at the bottom of the page.
- Outlook (new and web): Settings → Accounts → Signatures → New signature, paste, then choose it as the default for new messages and replies.
- Apple Mail: Mail → Settings → Signatures, add one, paste, and untick "Always match my default message font" so the styling is kept.
- Phones: mobile apps usually support plain text only; set up the signature on desktop or web and it will be used when you send from there.
Built for email clients
Email programs ignore most modern web CSS, so the signature is built the old-fashioned, reliable way: HTML tables with inline styles, web-safe Arial font and fixed image sizes. That keeps the layout intact in Outlook, Gmail and Apple Mail. Keep it short: name, role, company, one phone number, website and one or two social links are plenty. The signature is generated in your browser and your details are saved only on this device.
Why does my photo not show?
Images must be hosted online with a public https:// URL. Email signatures cannot use files from your computer. Some recipients also block images until they click "show images".
Can I use this signature in Outlook desktop?
Yes. Copy it, then paste it into File → Options → Mail → Signatures in classic Outlook, or the Signatures settings in new Outlook.
What should a professional email signature include?
Your name, job title, company, a phone number and website. Add a photo or logo and one or two social links if they help people contact you.
